Office Assistant will support the team of 12 in the New York office while working closely with the operations team in London. Handle all administrative duties for the office from phone coverage, front of house operations and travel and expense reports.

Client Details

Our client is an independent private markets placement and advisory group focused on partnering with best-of-breed fund managers in both the developed and emerging markets.

They assists both fund managers in alternative asset classes (private equity, venture capital infrastructure, credit and debt) and entrepreneurs/private companies seeking to raise capital through private placement.


-Answer incoming phone calls - field inquiries, direct calls and provide basic company information as needed

-Manage the front of house & reception operations, acting as the first point of contact for guests, employees, candidates, etc

-Keep the office clean and organized throughout the kitchen, conference rooms, storage rooms/closets and communal areas

-Maintain supply inventory and place orders as needed

-Assist in planning company events, meetings, lunches, employee team building activities and special projects

-Coordinate and maintain the conference room schedule, meeting requests, room bookings and other administrative tasks

-Maintain and facilitate office procedures to ensure smooth running of the office and workflow amongst the team

-Assist with set up of all IT equipment - mobiles, laptops etc.

-Assist with travel arrangements for senior executives, such as booking flights, cars, hotels and restaurant reservations

-Process expense reports and maintain records of corporate credit card usage

-Provide support to the Operations Coordinator and Partners as needed


-Bachelor's degree required

-Previous experience in a corporate office environment

-Proficient computer skills, including Microsoft Office Suite (Word, PowerPoint and Excel)

-Excellent written and verbal communication skills

-Highly organized multitasker who works well in a fast-paced, quickly changing environment

-Willingness to learn and grow with the company

-Prepared & responsive, willing to meet each challenge directly

-Ability to organize a daily workload by priorities

-Strong attention to detail and discretion
